Privacy Policy
How we collect, use, and protect personal information at Employer Training Canada — written in plain English, not legal-speak.
1. Who we are
"Employer Training Canada" is the operating brand name of 1417497 B.C. LTD., a corporation registered in British Columbia, Canada. In this Privacy Policy, "we", "our", and "us" refer to 1417497 B.C. LTD. doing business as Employer Training Canada.
Our registered office is at 13571 Commerce Parkway, Suite 200, Richmond, BC, V6V 2Z8, Canada. You can reach us at contact@employertraining.ca.
2. What personal information we collect
We collect only the personal information we need to deliver training services and respond to inquiries. Specifically:
- Contact information you give us: name, employer name, role/title, email address, phone number, and any details you choose to share when you contact us by email, the contact form, or phone.
- Participant information for training cohorts: name, job role, and (when needed for completion records) attendance records, for employees enrolled by their employer in our training programs.
- Basic invoice and payment information: business name, billing address, and GST/HST number — collected from the employer who pays for training, not from individual participants.
- Website logs: standard server logs (IP address, browser type, pages visited, timestamps), kept short-term for security and operational purposes.
What we do NOT collect
- We do not collect personal health information (PHI). For our Wellness Clinic training cohorts, participant data is strictly administrative — names, roles, attendance — and never patient data.
- We do not use third-party advertising trackers or sell personal information to anyone.
- We do not collect personal information from children under 16.
3. Why we collect it
We use the personal information you give us only for the following purposes:
- To respond to your inquiries and questions about training programs.
- To deliver training cohorts you or your employer have enrolled in.
- To issue invoices, receipts, and completion records for paid training.
- To provide training documentation that an employer may need for their own funding application to the BC Employer Training Grant or similar programs. Employers submit their own grant applications; we are not a grant agency and do not log into government portals on anyone's behalf.
- To send occasional emails about training updates if you have opted in (you can opt out anytime).
- To comply with legal and regulatory obligations under Canadian law (tax records, audit response, etc.).
4. How long we keep it
We keep personal information only as long as we need it for the purpose we collected it, plus any retention period required by Canadian tax or business records laws. In practice:
- Inquiry emails not converted to a paid engagement: deleted after 12 months.
- Training participant records and completion documentation: retained 7 years (standard Canadian business records period).
- Invoice and tax records: retained 7 years (CRA requirement).
- Website server logs: retained 90 days.
5. Who we share it with
We do not sell, rent, or trade personal information. We share it only when one of the following applies:
- With the employer who enrolled the participant: completion records, attendance, and certificates are shared with the employer who paid for the training. This is the point of employer-sponsored training.
- With our service providers: limited to operational tools we use — email hosting, video conferencing for live cohorts, payment processors, and cloud storage. We only share what those services need to operate, and we choose providers that follow Canadian and equivalent privacy standards.
- When required by law: in response to a valid court order, subpoena, or government audit request.
6. Where personal information is stored
Personal information is stored primarily on cloud services hosted in Canada and the United States. We rely on providers with appropriate technical and contractual safeguards. By using our services, you understand that personal information may be processed in jurisdictions outside of British Columbia.
7. Your rights under BC PIPA and PIPEDA
Under the Personal Information Protection Act (BC PIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:
- Know what personal information we hold about you — email us and we'll send you a copy.
- Correct it — if you find an error, tell us and we'll fix it.
- Withdraw consent — you can ask us to stop processing your personal information or unsubscribe from our communications at any time. (Some records we are legally required to keep, like tax invoices, must remain on file even after consent is withdrawn.)
- File a complaint — if you believe we have not met our privacy obligations, contact us first so we can try to resolve it. You can also file a complaint with the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
To exercise any of these rights, email contact@employertraining.ca. We respond within 30 days.
8. Cookies and analytics
Our website uses minimal cookies. We do not run third-party advertising trackers. If we add web analytics in the future (for example, a privacy-friendly tool such as Plausible or Vercel Analytics), we will update this Policy to disclose what is collected and why.
9. Changes to this Policy
If we make material changes, we will update the "Last updated" date at the top of this page and, where the changes affect existing customers, notify them by email. Continued use of our services after the update means you accept the revised Policy.
